Products & retail sales

Sell retail products — shampoo, wax, styling tools — alongside the treatments you already do. You add a product to a booking at the counter, the total goes up, and stock comes off by itself when the customer pays.

Products are always sold with a booking, by you or your team. Customers can see what you stock on your booking page, but they can't buy online — retail stays a counter sale.

Retail or back-bar

Every product is one of two types, and the difference matters:

  • Retail — for sale. It can be added to bookings and it appears on your public booking page.
  • Back-bar — used inside the salon (professional-size colour, disinfectant, and so on). It's never sold and never shown to customers; it's in the list so you can keep track of what you carry.

Add a product

  1. Go to Products and select Add product.
  2. Fill in the name, an optional description, and the price the customer pays (VAT included, just like your services).
  3. Choose the type — retail or back-bar.
  4. Set the stock you have on the shelf, and optionally a low-stock alert — the number at which you want to be warned.
  5. Put it in a category if you want your list grouped.
  6. Choose the accounting account. This decides the VAT rate on the product — goods usually sit at the standard rate, which isn't always the same rate as your services, so pick deliberately.
  7. Add a photo — it's what customers see on your booking page.
  8. Leave it Active and save.

Adding several products in one go? Tick Create another and the form keeps your category, accounting account and type for the next one.

Categories

Categories group related products — Hair care, Styling, Tools. They keep your product list tidy and group the products customers see on your booking page. Manage them from the Categories button on the products page.

Stock

Stock is deliberately simple, and it follows the money rather than the booking:

  • Adding a product to a booking doesn't touch stock. Nothing is reserved.
  • Stock comes off when the payment is taken. That's the moment the item genuinely leaves the shelf.
  • Stock goes back on automatically if that payment is refunded in full or voided, or if you remove a product line that had already been paid for.
  • A partial refund does not restock. When only part of a payment comes back, the system can't tell which line was returned — correct the stock number by hand if the customer returned an item.
  • When stock reaches your low-stock alert, the product is flagged in the list so you can reorder.

You can't oversell: if you try to add more than you have, the system stops you. Back-bar products and inactive products can't be sold at all.

Sell a product with a booking

  1. Open the booking (the customer's appointment).
  2. In the Products block, pick the product and the quantity. The picker shows the price and how many you have left, and it only lists retail products that are active and in stock.
  3. The line is added and the booking's total goes up straight away.
  4. Take payment as usual — see Payments & deposits. The amount to collect already includes the products.

Your staff can do this too. Selling at the counter is part of serving the customer, so team members can add and remove product lines on any booking — only owners create and price the products themselves.

What customers see

  • On your public booking page, your retail products are shown with photo and price. It's a shop window, not a shop: there's no basket and no online checkout. The point is that customers know what you stock and ask for it at the counter.
  • On their receipt, products appear as their own lines next to the services.

Discounts don't apply to products

Loyalty rewards and vouchers reduce the price of services only. Products are always paid in full.

That's deliberate: a reward for ten haircuts shouldn't quietly pay for a bottle of shampoo, and keeping the discount on the service lines is what keeps the VAT on each line correct in your books. See Loyalty, stamp cards & vouchers.

Products in your reports

Products flow into the same numbers as your services:

  • Each product gets its own row in Revenue by service in your reports — so you can see what actually sells.
  • Its VAT lands in VAT by rate, at the rate of the accounting account you chose.
